Skill requirements:

  • Strong organizational, interpersonal, as well as communication skills, written and verbal. Ability to prioritize and multi-task
  • Must be self-motivated and experienced with time management processes
  • Strong skills with computers which includes the use of software like Microsoft Office (Word, Excel, Outlook, Powerpoint); Rakefet database
  • Programming, event, and volunteer coordination

 

Position description:

The Administrative Director is part of CST’s leadership team. As a small but growing organization, this position entails operational, communication, coordinator, and programming duties. CST currently employs one person to manage Synagogue affairs with regard to its daily operations. Defined as a part-time position, the Administrative Director reports to the Rabbi and the President of the CST Board of Directors.

  • Works with devoted volunteer community
  • Demonstrates respect for and understanding of Jewish rituals, traditions, religious observance, and holidays
  • Works in partnership with the Rabbi and lay-leadership to formulate synagogue practices and is responsible for their day-to-day implementation
  • Shows discretion when to maintain confidentiality of member information and synagogue business

 

Job requirements:


Operational Activities:

  • Ensures that proper practices are implemented to handle membership, data, publications, High Holy Days arrangements, yahrzeit information, and other materials that are necessary for the smooth operation of the synagogue
    • Maintain accurate membership database, keeping appropriate information up to date
    • Facilitates new membership process
    • Maintain CST’s “procedure book” to a level of detail necessary so that a back-up person can complete the tasks
  • Attends and participates in events and meetings:
    • Board and Committee meetings as appropriate
    • CST sponsored events including Casino Night, AIPAC, and any other event at the Synagogue that includes outside Jewish organizations.  
    • Assists lay committees and volunteers to achieve their respective committees’ goals and adhere to deadlines
  • Coordinates and supervises outside services, as requested by Board Members, on request including but not limited to:
    • computer and other consultants
    • building maintenance
    • Leads the bid process for outside vendors when acquiring special services
    • Biennial reviews service, vendor equipment and insurance contracts to ensure competitive pricing and service

 

Communications:

  • Serves as the chief point of contact for member’s needs, questions, concerns and complaints, excluding issues that are the province of the Rabbi Represents CST with warmth and professionalism on the phone and in-person
    • Manages CST voice-mail system keeping greetings and out-going messages up to date
    • Coordinates the distribution of office-based mailings, e-mails, and website postings
  • Reviews and proofreads all written materials (newsletters, notices, and weekly service sheets) prior to release making sure information is consistent with Synagogue calendar
    • Prepares for Shabbat/B’nai mitzvah/holidays, placing appropriate items on the bimah and copies of programs.
    • Maintains electronic synagogue calendar
    • Notify congregants of upcoming Yahrzeits
    • Update Rabbi 2 weeks in advance of key life-cycle events in member’s lives
  • Maintains collegial relationships with other Central Indiana synagogue and Jewish agency administrators

 

Programming Activities:

  • Markets and promotes the synagogue through various approaches including but not limited to:
    • Updating the CST website
    • Developing in coordinate with the Board of Directors marketing or fundraising campaigns
    • Maintaining CST’s brochures
    • Updating the communication station in the lobby
  • Responsible for increasing visibility in the community via proposing, coordinating, and executing events cosponsoring with other organizations (Jewish and non-Jewish)
    • May attend JFGI meetings on behalf of Board Members or as requested

 

CST Coordinator:

  • Serves as the chief point of daily contact for organizations outside of CST membership that rent CST’s facilities either as an event or ongoing basis.
    • Responsible for maintaining the CST rental brochure which will include prices and policies
    • Serves as the primary point of contact for booking of synagogue functions, coordinate all room rentals and work with service providers so that functions run smoothly

Serves as CST’s volunteer coordinator for events sponsored by CST, the high holidays, or other events deemed appropriate by the Board
